How to fill in the form

A step-by-step guide to creating multiple fixtures and uploading your files.

1What you need

Make sure you have the following files and information ready before you start:

Tip: It helps to name your files using the format Brand_Retailer_Width_Type, for example: Maybelline_Etos_1M_Mud.pdf. This helps us process everything faster.

2Part 1: Company details

Company details

First, fill in your Parent company (e.g. L'Oréal, Coty, Estée Lauder) and the brand you are submitting data for (e.g. Maybelline, Rimmel, MAC).

Contact person

Enter your name and email address. Phone number and a separate contact for future planogram updates are optional.

Note: Fields marked with a red asterisk (*) are required. You cannot submit the form until they are filled in.

3Part 2: Adding fixtures (multiple fixtures)

This is the most important part. A fixture is a specific shelf setup or display in the store. You can add as many fixtures as you need.

Your first fixture

When you open the form, one fixture is already prepared with number 1. Expand it by clicking the title bar.

Fill in fixture details

For each fixture, fill in the following fields:

  • Fixture width — The width of the shelf (e.g. 1m, 1.5m, 2m)
  • Fixture type — The shelf type (e.g. Mud, Bergerie, gondola, tower)
  • Number of stores — Optional: in how many stores does this fixture appear?
  • Planogram updated periodically? — Is the planogram updated regularly?

Adding a second (or third, fourth...) fixture

At the bottom of the fixture list you will see a button: "Add fixture for Etos". Click it to add a new fixture. Each fixture is automatically numbered (2, 3, 4...).

Example: 3 fixtures
Fixture 1 — 1m — Mud
Fixture 2 — 2m — Bergerie
Fixture 3 — 0.5m — Gondola endcap

Collapsing and expanding fixtures

Click a fixture's title bar to collapse or expand it. This keeps things organised when you have many fixtures. The small arrow at the top right of the fixture card does the same.

Removing a fixture

Click the "Remove" button at the top right of the fixture card to delete a fixture. Note: the associated files will also be removed from the form.

Tip: The title of each fixture card updates automatically based on the width and type you enter. This makes it easy to see at a glance which fixture needs which file.

4Uploading files per fixture

Each fixture has three upload areas. You can upload files by clicking the area, or by dragging and dropping files into it.

Planogram file(s) *

Upload the planogram for the fixture here. Allowed formats: PDF, PNG, JPG, AI. You can upload multiple files, for example if you have a front and back view.

Article data Excel (EAN) *

Upload the article file here. Allowed formats: Excel (.xlsx) or CSV. Make sure the file contains the following columns: EAN code, Article name, Internal article number, Shelf position on planogram.

Additional files (optional)

Upload any extra files related to this specific fixture, such as a parts overview or assembly manual.

Important: Files larger than 50 MB? No problem — the system supports large files. Just keep in mind that uploading may take a little longer.

Removing files

Click the × icon next to an uploaded file to remove it. This does not affect the original file on your computer.

5Part 3: Additional information

Do you have files that don't belong to a specific fixture? Upload them in the "Additional files" area at the bottom of the form. Think of:

6Submitting and what happens next

Check the progress bar

At the top of the form you will see a progress bar. When it reaches 100%, all required fields are filled in and you can submit.

Click "Submit data"

Press the black button at the bottom. The system will now upload all files to the server and send the data. This may take a moment depending on the number and size of your files.

Confirmation

If everything went well, you will see a green checkmark and the message "Thank you for your submission!". You will not receive a separate confirmation email — the green screen is your confirmation.

Tip: Do not close the browser during the upload. An overlay with "Uploading files…" will show how many files have already been processed.

7FAQ & tips

?

Can I pause the form and continue later?

No, the data is not saved in between. We recommend collecting all required files first and filling in the form in one go.

Do I need to upload a separate EAN file per fixture?

Yes, that is preferred. Upload the matching article file with each fixture. Have a single large file for multiple fixtures? Upload it with each fixture, or place it under "Additional files" with a clear description.

What if I make a mistake?

You can remove and re-add fixtures, and remove and re-upload files — all before you click "Submit data". After submission, please contact info@caring.nl.

Can I submit multiple brands at once?

No, please fill in the form per brand. Do you have multiple brands under the same parent company? Submit a separate form for each brand.

How do I know if my files were uploaded successfully?

The success screen only appears once all files have been uploaded successfully. If something goes wrong, you will see an error message with the option to try again.
